A leading Forex outsourcing company is looking for an Administration Manager to oversee their administration team in Malta. You will provide coaching and guidance to the team ensuring work is completed satisfactorily and ensure budget are adhered to. The ideal candidate will have experience in Office Management, be fluent in English and ideally Italian or Maltese. MAIN DUTIES AND RESPONSIBILITIES
  • Supervise the admin department, provide coaching and guidance to the team ensuring great work produced
  • Monitor costs and expenses of the company
  • Prepare and update budget/promo reports for all the departments/languages
  • Share the budget file with Head Office
  • Share the team incentives with the external accountant
  • Take care of all promotions
  • Prepare reports for fringe benefits
  • Coordinate with payroll the info to prepare the salary (promotions, fringe benefits, fines)
  • Update the file for IT orders and check about all the deliveries and payments
  • Cooperate and coordinate with IT department and Security to create and organize new areas in the office
  • Check and approve the invoices from third parties and check the time schedule
  • Prepare the documentation required for work permits and deal with lawyers/Identity Malta
  • Cooperate with other departments like HR, Payments, IT and assist the other managers
  • Create/improve the procedure/administrative filing
  • Monitor and purchase needed items and office equipment
  • Coordinate, fill and check the surveys
  • Supervise the cash box and the credit card
  • Find new benefit for the employees
  • Deal with office suppliers
  • Organize team building event/ leisure activities (internal and external)
  • Organize company events externally
  • Organize Marathon Day and staff party (with HR)
  • Handle different requests from the Managing Director
CANDIDATE PROFILE
  • Good level of written and spoken English, also ideally Italian and/or Maltese speaking
  • Must have solid experience of Office Management
  • Good knowledge in MS Office and Internet programs
  • Manages to work in a fast-paced environment
  • Able to implement internal processes
  • Work Independently
  • Ability to organize and prioritize job tasks
