On behalf of our client a financial compliance unit specialising in all legal compliance matters GRS sre seeking to recruit an Administrative Assistant for their corporate services department in Malta. The purpose of this role is to provide support the corporate department, including reporting, inventory recording and other administration duties. MAIN DUTIES AND RESPONSIBILITIES
  • Providing administrative assistance and support to the Corporate Services Section
  • Dealing with incoming and outgoing correspondence
  • Compiling periodic reports and other documentation
  • Maintaining the electronic and hard copy filing systems organised
  • Operating IT Systems, including the e-procurement portal (EPPS system) and SFM
  • Assisting the Section in the Public Procurement process to purchase supplies, services or works for the unit
  • Preparing Purchase Orders
  • Liaising with suppliers to ensure timely delivery of supplies
  • Keeping inventory records
  • Attending Tender Opening Sessions, Evaluation Committee Sessions, and other pertinent committees
  • Carrying out of bank reconciliations
  • Administration of petty cash
  • Reception duties when required
  • Providing logistical support in management and preparation relating to the events organised by the company
  • Keeping abreast with relevant regulations and policies
  • Carrying out any other duties as directed by the Director, Deputy Director, and Manager
CANDIDATE PROFILE
  • In possession of an A-level standard of education and be well skilled in Microsoft Office tools.
  • Able to work both independently and as part of a team
  • Well organised, and can manage multiple tasks effectively
  • The selected candidates are expected to have a professional attitude and appearance
  • Excellent telephone manner
  • Fluency in both Maltese and English language.
  • Demonstrated accounting and administrative experience in a similar role and the possession of a relevant ICT qualification will be considered favourably
