Malta’s most prominent legal firm is looking for an experienced Administrator to join their team in Malta’s capital. The primary purpose of this position is to provide comprehensive and reliable administrative support to the Private Clients Advisory Team and also carrying out Initial Due Diligence checks on all prospective clients and intermediaries. The perfect candidate will have great administrative and ideally KYC kills. MAIN DUTIES AND RESPONSIBILITIES
  • Ongoing monitoring of mailboxes and forwarding the request promptly to the relevant advisor, whilst creating the appropriate contact/s and opportunity on the system
  • Providing comprehensive administrative assistance to the Advisory department including taking calls, writing minutes, and scheduling meetings
  • Assisting the team with the preparation of quotations and engagement letters as required
  • Updating the company CRM system with all the records relating to incoming requests, updating interactions and closing opportunities as won or otherwise
  • Assisting the team with the preparation of Collaboration Agreements as required
  • Conducting initial Due Diligence checks on prospective clients and collaborators as requested and recording/updating all due diligence findings in the respective folders/systems as required
  • Highlighting challenging cases to the Senior Advisors/Compliance Team as needed
  • Maintaining quality service by establishing and enforcing organization standards & Contributing to team effort by accomplishing related results as needed
  • Ensuring compliance with internal policies and procedures
  • Updating and maintaining department’s filing system both electronic and actual original documentation
  •  Any other task as required by the department
CANDIDATE PROFILE
  • Excellent written and spoken English
  • Proficient in the use of Microsoft Office and Customer Relationship Management systems
  • Computer literate
  • Willing to learn quick and grow within the firm
  • Mature and independent
