You will work closely with suppliers, logistics partners, warehouse personnel, and internal departments to ensure stock availability, efficient logistics operations, and accurate financial records.
DUTIES AND RESPONSIBILITIES
Inventory Management & Stock Control

Monitor inventory levels and ensure adequate stock availability to support operational requirements.

Conduct regular stock audits and reconcile physical inventory against system records.

Maintain accurate inventory records and ensure database integrity.

Implement and support inventory control procedures and best practices.

Manage stock movements from supplier invoices through to inventory management systems.

Place stock orders based on inventory levels, demand forecasts, and operational requirements.

Track supplier orders and ensure timely delivery of stock.
Logistics & Shipping Coordination

Oversee shipping activities to ensure orders are processed, packed, and dispatched accurately and efficiently.

Coordinate with logistics providers and external partners to optimize delivery performance and cost efficiency.

Monitor shipments and proactively resolve any logistics-related issues.

Provide regular updates regarding stock movements, deliveries, and shipping schedules.

Maintain strong communication with suppliers, warehouse teams, and relevant stakeholders.
Financial & Supplier Administration

Review supplier invoices to verify accuracy of charges, quantities, and supporting documentation.

Update invoice tracking records and submit approved invoices for payment processing.

Liaise with suppliers to resolve invoice discrepancies and missing documentation.

Conduct monthly reconciliations between supplier statements and company records.

Review supplier account statements and monitor outstanding balances, credits, and VAT adjustments.

Process employee expense claims and submit approved documentation to the Accounting Department.
Travel & Operational Support

Maintain departmental travel and flight records.

Ensure all travel-related expenses comply with company policies and budget requirements.

Support operational reporting and record-keeping activities.
-
Identify opportunities to improve efficiency, accuracy, and process automation within the department.
CANDIDATE PROFILE
Requirements
-
Proven experience in inventory management, logistics coordination, shipping administration, or a similar operational role.

Strong computer literacy, including Microsoft Office Suite (Excel, Word, Outlook) and inventory or ERP systems.

Excellent written and verbal communication skills in English.

Strong analytical and numerical skills with the ability to interpret and manage operational data.

Highly organized with exceptional attention to detail.

Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Knowledge of CCTV systems and technologies will be considered an advantage.
Qualifications

High School Diploma.

Academic or College Diploma, relevant training, or equivalent professional experience.

Previous experience in inventory management, logistics, procurement, or supply chain operations.

Knowledge of CCTV technologies and related systems will be considered an advantage.
