On behalf of our client, a successful group of companies offering multiple services across 30 jurisdictions GRS are currently seeking a Corporate Secretary on a fixed term contract to cover for a maternity cover of 5 – 6 months in their Dubai office. In this role you be responsible for managing day–to–day legal, corporate, and administrative affairs relating to client entities within the corporate team portfolio and motivate employees within the team to continuously meet customers’ expectations, to optimize the work processes and to maintain close contacts with client relations. MAIN DUTIES AND RESPONSIBILITIES
  • Engage with the CS team and develop ways to optimize performance; facilitate and encourage them to reach their objectives and to ensure monthly targets are met; escalate potential issues timely to local management
  • Monitor and review the status of the corporate and legal affairs of the client companies
  • Review the time writing of the CS team on a weekly basis to ensure appropriate chargeability and a proper invoicing of the work on behalf of clients
  • Ensure timely and correct invoicing and review of breakdowns
  • Be responsible for the cash collection of the outstanding invoices
  • Meet regularly with the CS team to identify (potential) problem areas, discusses possible solutions and encourages and motivates staff to embrace a constructive, change oriented way of working
  • Handle and solve any query escalated by the CS team, in cooperation with management if applicable and where necessary.
  • Ensure the onboarding of new and existing clients is completed in full
  • Review and sign-off the drafting and/or review of legal and transaction documents
  • Support the CS team with answering complex legal & corporate matters and queries;
  • Ensure the proper maintenance of the legal files (completeness, accuracy, updating etc.)
  • Ensure the legal review of the financial statements team in accordance with the “Drafting, Approval and Filing of Annual Accounts” process and procedure
  • Complete on a daily basis his/her time-writing to ensure appropriate chargeability and a proper invoicing of the work on behalf of clients
  • Monitor and ensure clear, efficient and professional communication between team members and third parties
CANDIDATE PROFILE
  • Hard-working and confidence in managing a team
  • University degree/studies in law
  • 5 – 8 years of experience in law /managerial/senior role
  • Solid knowledge of the UAE legal framework and procedures
  • Fluency in English is a must; Arabic is a plus
  • Excellent verbal and written communication skills
  • Required knowledge and experience
  • Able to work in Dubai with no visa restrictions
