GRS Recruitment is seeking an experienced and highly organised Executive Assistant to provide comprehensive support to a high net worth individual. The successful candidate will be responsible for managing a wide range of administrative tasks, ensuring seamless coordination of schedules, travel arrangements, and communication among various stakeholders. This role will require exceptional attention to detail, discretion, and the ability to maintain confidentiality in handling sensitive information.
 
MAIN DUTIES AND RESPONSIBILITIES
 
Calendar Management
  • Efficiently manage and prioritize the executive's calendar, including scheduling meetings, appointments, and events.
  • Coordinate with internal and external parties to ensure all commitments are met and conflicts are resolved promptly.
Travel Coordination
  • Arrange complex domestic and international travel itineraries, including flights, accommodations, ground transportation, and visa arrangements.
  • Anticipate travel needs and proactively handle any changes or adjustments to travel plans.
Communication Management
  • Serve as the primary point of contact for the executive, screening and prioritizing incoming communications.
  • Draft and prepare emails, letters, memos, and other correspondence on behalf of the executive.
Staff Coordination
  • Oversee and coordinate activities with household staff, ensuring smooth operation of daily tasks and responsibilities.
  • Liaise with other members of the executive's team to facilitate effective communication and collaboration.
Administrative Support
  • Handle general administrative tasks such as filing, expense tracking, and document management.
  • Prepare presentations, reports, and briefing materials for meetings and presentations.
Confidentiality
  • Exercise discretion and maintain confidentiality in handling sensitive information and correspondence.
Special Projects:
  • Assist with ad-hoc projects and initiatives as assigned by the executive, demonstrating flexibility and adaptability to changing priorities.
CANDIDATE PROFILE
  • Educated to Bachelor's degree or the equivalent preferred.
  • Fluency in English and Russian and ideally Greek
  • Proven experience as an Executive Assistant or similar role, preferably supporting high-level executives or high net worth individuals.
  • Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office suite and other relevant software applications.
  • Ability to work independently with minimal supervision while also functioning effectively as part of a team.
  • Discretion and integrity when handling confidential information.
  • Flexibility to occasionally travel outside of Cyprus freely and work outside of standard business hours.
  • Professional demeanor and interpersonal skills.
