A privately owned maritime company operating a fleet of high-standard survey vessels with a focus on safety and operational excellence, are working with GRS to recruit a Head of Finance & Administration to join their growing Larnaca operation. The successful candidate will have previous experience in a similar role. MAIN DUTIES AND RESPONSIBILITIES
  • Oversee the end-to-end payroll process, ensuring accurate and timely payments for wages, bonuses, and allowances. Manage crew-related expenses, including travel, accommodation, and allowances, and process claims submitted by crew members.
  • Prepare management accounts, cash flow statements, and financial reports for senior management, providing insights into crew expenses and overall financial health. Manage monthly bank reconciliations and ensure accuracy in accounting records.
  • Prepare invoices for clients in the crewing and shipping sectors, monitor payment status, and follow up on outstanding invoices. Handle accruals, pre-payments, and ensure all supporting documentation is properly prepared and archived.
  • Ensure timely preparation and submission of VIES and VAT returns, in compliance with local and international regulations. Handle tax documentation and provisional tax returns.
  • Assist in external audits, ensuring timely provision of accurate information, and liaise with auditors and clients during the audit process.
  • Develop and implement administrative procedures and policies to improve organizational efficiency. Oversee daily operations of the administrative team, delegating tasks and providing guidance where necessary.
  • Manage and monitor budgets, expenses, and purchasing activities to ensure cost-effectiveness and compliance with financial guidelines.
  • Handle employee-related administrative tasks such as onboarding, offboarding, and maintaining employee records. Collaborate with department heads to ensure administrative support meets organizational needs.
  • Implement and maintain systems for document storage, retrieval, and disposal, ensuring proper record-keeping for payroll and contracts.
  • Identify areas for improvement within payroll, financial, and administrative systems, suggesting and implementing solutions to enhance efficiency. Ensure alignment between financial practices and wider business objectives.
  • Lead and motivate the finance and administration team, fostering positive working environment and encouraging professional growth. Conduct performance evaluations, set team goals, and ensure smooth collaboration with other departments.
  • Ensure adherence to all legal and regulatory requirements, including tax laws, employment regulations, and administrative policies. Maintain up-to-date knowledge of relevant regulations and ensure the organization complies with them.
 
CANDIDATE PROFILE
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field. A Master’s degree is preferred.
  • Holder of a Certificate in Accounting or a recognized accounting qualification (e.g., ACCA, ACA).
  • Professional certifications in administration or financial management are a plus.
  • Minimum of 5 years of practical accounting and finance experience, preferably in an international setting.
  • Proven experience in a senior administrative role with strong leadership capabilities.
  • Familiarity with organizational policies, procedures, and compliance requirements.
  • Strong financial acumen and excellent organizational skills.
  • Ability to manage multiple tasks and meet tight deadlines.
  • Robust analytical skills, with attention to detail and accuracy.
  • Exceptional problem-solving abilities and critical thinking.
  • Excellent communication and interpersonal skills, with fluency in both Greek and English (Russian/Ukrainian is a plus). High proficiency in accounting and office productivity software (e.g., Microsoft Office, Caseware).
  • Positive attitude with a proactive approach to challenges.
  • Ability to thrive in a dynamic and fast-paced environment.
  • Discretion and ethical conduct, especially when handling sensitive financial and HR-related information.
