GRS Recruitment is delighted to be working with a well-established leader in professional cleaning services in Malta, currently seeking a proactive and detail-oriented HR & Office Administrator to join their dynamic team. This is an excellent opportunity for an organised and efficient professional who thrives in a fast-paced environment. The successful candidate will oversee a broad range of administrative and HR-related tasks, including appointment scheduling, data entry, coordination with staff, and managing leave records. As a central support figure within the office, the HR & Office Administrator will play a key role in ensuring smooth day-to-day operations while contributing to a positive and structured workplace environment.
DUTIES AND RESPONSIBILITIES
- Set up appointments and manage bookings
- Manage and organise the work calendar
- Coordinate office activities and ensure smooth communication between management and sales staff
- Maintain the leave and sick leave calendar
- Assist with general administrative tasks as needed
- Manage office supplies and inventory
- Handle incoming and outgoing correspondence
- Prepare and distribute meeting agendas, minutes, and other documentation
- Support HR activities, including maintaining employee records and assisting with onboarding processes
- Assist with travel arrangements and expense reports
- Answer and direct phone calls, and provide support to visitors
- Input data in accounting system (XERO).
- Chase debtors where needed.
- Assist the Admin manager with any other requirements.
CANDIDATE PROFILE
- Excellent communication skills in English (Maltese will be considered an asset)
- Previous experience in an administrative role is an asset
- Proficiency in computer applications such as Microsoft Word
- Strong organisational skills and attention to detail
- Ability to multitask and prioritise tasks effectively
- Professional demeanour and positive attitude
- Experience using XERO is considered an asset
