GRS Recruitment are working in partnership with a leading international Contractor with projects across the globe. Our Client are looking to hire an M&E Shift Leader to ensure that various plant and systems are monitored remotely on a large Facilities Management Contract in Cyprus. The role is critical to the operations to ensure that any adverse changes in conditions are escalated to the appropriate engineering staff as per escalation procedures.  This will facilitate pro-active response to possible remedial actions required, as well as minimum lead times for action during emergencies.
 
MAIN DUTIES AND RESPONSIBILITIES
 
Operations Management
  • Establish good working relationships with client Facilities Managers, to ensure early awareness of intended exceptions to normal utilisation profiles
  • Monitor component, system and building performance against target profiles via BMS screens and alarms
  • Contribute information as required for regular and exception reports
  • Propose variations or modifications to modes of operation and or the times of operation of systems so as to minimise energy consumption
  • Invoke escalation when required through established communication channels
  • Provide ownership of BMS system making adjustments to plant and systems as appropriate
  • Ensure required documentation and records are maintained in line with company process and procedures
  • Responsible for incident management and completion of associated forms
  • Ability to plot graphs via BMS to establish building load profiles
  • Work in close knit team interacting with other departments to ensure optimum service levels
  • Accountable for specific areas of responsibility and deliverables and manages the associated risks
  • Delivers activities to support operational objectives for their specific contract
  • Inputs to planning activities
  • Operates within agreed operational and/or management guidelines
  • Interacts with client or users around specific work efforts and deliverables
  • Support the delivery of Health and Safety policy and standards
  • Manages the activities of others to meet deadlines and quality standards taking account of impact outside area of responsibility
  • Focus of work is predominantly against defined targets but performs a range of tasks from complex to straightforward as listed below
  • Ensure non-critical alarm buffer is clear.
  • Ensure Plantroom checks are completed at the start and end of shifts.
  • Non-Critical and Critical comms is checked intermittently.
  • Critical alarms cleared or uncleared, or in hand alarms have been verbally explained to next shift person.
  • International alarms are escalated or cleared and sent, or uncleared alarms in hand alarms have been verbally explained to next shift person and logged in shift log.
  • All time zone changes permanent or temp have been logged
  • Any subcontractor within the portfolio has been logged into shift log.
  • Ensure the Shift Log is kept up to date with relative and informed information that proactively assists the Shift team deliver to a constant high standard.
    • Ensure the Shift Handover Report is sent before the end of shift without exception
    • Ensure all asset and operational issues are clearly recorded to meet the monthly SLA’s
  • Develop a comprehensive understanding of the portfolio buildings their layouts, functions and complexities through developed practices through scenario drills, continuous assessments, staff training and personal development.
  • Ensure a consistent and up to date understanding of site and asset operational status, utilising the BMS system and Shift Team. Be able to articulate full status on request.
Technical Management
  • Complete and issue authorisation to work documentation to a consistent high standard.
  • Ensure that all statutory documentation is kept up to date and is available for inspection or audit when required.
  • Make sure H&S and statutory tasks are completed correctly.
  • Look to recommend improvements to your work processes by providing suggestions and solutions in writing if requested.
  • Carry out Contractor Inductions and complete all paperwork as required.
  • Ensure all Plant Rooms, BMS Room and Storage Facilities are both clean and tidy with regular weekly inspections carried out.
  • To make sure any plant withdrawn from service is isolated, locked and tagged correctly and tracked until back in service using both email correspondence and the Shift Log Book.
  • Assist the Contract Manager by advising of any PPM’s that are outstanding and will affect the performance of the Building or Client Reports, to ensure zero failure.
  • Prioritise PPM’s to ensure all works are completed on schedule and relevant paperwork is completed to a constant high standard.
  • Ensure all PPM resultant tasks are raised for defects with costs for all materials allocated accordingly.
  • Ensure any issued PPM’s and Reactive tasks are recovered from the Shift team before end of shift, and that Concept is updated to avoid overdue activities.
  • Ensure 0% failure on reactive tasks by clearing tasks from CAFM system or intelligently extending.
  • Take ownership of impending service delivery failures, implementing appropriate mitigating action(s) and engage with Contract Manager to resolve.
  • Will need to allocate work to the shift team to ensure that they are fully utilised through the shift
  • Manage shift roster and shift cover
  • Produce technical  reports as required by contract manager
  • Form part of the emergency call out response team
  • Will need to manage the permit to work system whilst on shift
  • Will be required to produce update SOPs/EOPs as required
  • Will be required to stand in for the Contract manager as and when required
  • Provide Shift cover for leave and sickness
  • To assist the contract manager in programming critical maintenance activities
People Management
  • Assume ownership and accountability of the Day Team output when on duty
  • Liaise with Operational and Management teams plus other Shift Leaders to ensure the most productive use of the Operations Team.
  • To work with other members to provide great customer service
  • Undertake supervisory role in terms of team leadership, experience/training deficiencies, appraisals, performance and discipline including:
  • Complete bi-annual documented 1-2-1 meetings for relevant staff. Monitoring general performance and agreed objectives.
  • Complete and document Annual Performance Review for your direct reports
  • Ensure the Absence and Timekeeping Reporting Procedure is strictly adhered to at all times by all members of the Operations Team.
  • Manage Annual Leave planning within shift team in line with the site policy ensuring zero impact on operations.
  • Log in Shift Book and report absences including lateness’s to the Contract Manager and Contract Administrator on a daily basis.
  • Ensure the Shift Team work efficiently and safely to complete PPM’s and Reactive Tasks to resolve all client issues within the agreed SLA’s.
  • Work with the Contract Manager to keep the agreed budget on target
  • Demonstrate a willing and positive manner and to lead by example at all times.
  • Advise the Contract Manager of any opportunity that could increase the contract margin, and look for areas that can develop our service.
CANDIDATE PROFILE
  • Thorough working knowledge of one functional area through significant job experience & training
  • Experience of supporting a business contract and/or providing support to a professional function
  • Likely to have 5 years business experience and/or be a fully qualified
  • Significant M&E Operations Management experience within a business-critical client environment
  • HV & LV Authorised Person
  • Requirement to complete the critical environment training, and to carry out scenario training as per schedule, guide and training shift team on SOPs/EOPs etc.
  • Familiar fuelling procedures
  • Experience with HV generation and control systems
  • Experience with working within a critical and secure environment
