Responsible for the Company’s document turnover

Make sure company agreements, contracts are agreed, executed in line with the Company’s policies and delivered within the set deadlines

Corporate documents and agreements management. Make sure documents are properly maintained, filed and stored. Manage external storage facilities
-
Enhance administration systems to increase overall efficiency
-
Communication with Landlord and Building management in respect office premises and car park maintenance
-
Arranging all aspects for functions and events for staff and client i.e., Dinners, Christmas Function, Staff team events, in-house catering etc.

Meet and Greet – Company’s guests for meetings, hotel etc.

Minute taking for meetings
-
Assist with preparation of forms, label, reports and promotional material including quarterly reports for Board
-
Filing, Photocopying and Scanning
-
Responsible for incoming and outgoing mail/couriers
-
Other task as required by management
-
Responsible for issuing and reconciling petty cash
-
Responsible for stationery, utility bills, office supplies. Maintain and manage office supplies stock as required

Ensure cost effectiveness with local suppliers
-
Arrange all office purchasing aspects
-
Maintaining and negotiating company courier account.

Organising purchasing of Gifts for local and overseas
-
Assist in ensuring all relevant information is entered into accounting package
-
Provide effective and efficient Secretarial tasks as required
-
Arranging and setting up meetings (internal & external)
-
Handle cost reimbursement process for Director
-
Ad-hoc tasks assigned by Director
-
Organising travel and accommodation arrangements for employees and visitors
-
Issuing of Travel Allowance for staff traveling overseas.

Arranging Travel Visa’s if required
-
Assisting with immigration and settlement of Expat Staff
-
Local Transport for staff and visitors
-
Update Staff company lists/organizational charts
-
Maintenance of standards and professional conduct of Staff in line with the Company’s policy

Assist in Human Resources

Write, update and manage company handbook
-
Other tasks as required

5+ years of previous working experience in a similar role
-
Fluent in Russian and English both written and spoken. Fluency in Greek language will be considered an advantage.
