With strong organizational and multitasking skills, you will oversee the management of documents, correspondence, and the company database while providing comprehensive support to senior management. Your responsibilities include organizing meetings, business trips, and catering services, along with ensuring the proper maintenance of office equipment. Additionally, you will supervise office staff and monitor employee benefits such as medical insurance and housing arrangements. With a strong knowledge of Limassol local services and regulations, you will handle communication, logistical support, and document preparation with discretion and professionalism. Proficient in MS Office (Excel/Outlook) and committed to confidentiality, you'll contribute to a productive and well-organized office environment.
DUTIES AND RESPONSIBILITIES

Answer telephone calls and record/transmit official information to the top manager, executive director, and employees.

Ensure efficient document flow including incoming and outgoing correspondence, registration, accounting, storage, and archiving of documents.

Perform copying, reproduction, and document preparation tasks on behalf of the top manager/executive director.

Draft letters, requests, and other company-related documents on behalf of the top manager/executive director.

Print service materials and maintain a company database.

Organize meetings and sessions, including logistical support, notifying participants, and preparing agendas.

Organize business trips for employees, including ticket booking and hotel arrangements.

Visa and insurance preparation.

Ensure the provision of office supplies, including stationery and other necessary office materials.

Monitor the proper condition of office equipment and communications infrastructure.

Coordinate and supervise the work of office staff (driver, couriers, cleaner, coffee boy).

Organize catering services for office employees.

Monitor and control the availability of employee social packages such as medical insurance, visas, apartment rent, and parking space rent.

Bachelor’s degree.

Certifications in office management, business administration, or a related field (optional but advantageous).

Has lived in Cyprus for 3 years with strong local knowledge

Previous experience in an administrative or office management role is preferred, especially in handling documents, organizing meetings, and supporting senior management.

Experience coordinating business travel arrangements and managing office logistics is beneficial.
