Our client, a reputable Corporate Services company based in Bermuda, is seeking a dedicated and experienced Senior Corporate Administrator to join their team. The Senior Corporate Administrator will manage a diverse portfolio of client entities incorporated in Bermuda, and other jurisdictions from time to time such as BVI, Malta etc, ensuring full compliance with statutory, regulatory, and governance requirements. The role may include supervision of one (or more) Corporate Administrator, involvement in training staff, and acting as a key point of contact for clients. The Senior Corporate Administrator will also attend client meetings, prepare minutes, and support management in operational and compliance matters. This position is suited to a motivated professional with strong technical knowledge, excellent organisational skills, and the ability to deliver high-quality corporate services in a fast-paced environment. The position offers flexibility in terms of hybrid working.
DUTIES AND RESPONSIBILITIES
Corporate Administration & Governance

Manage a portfolio of companies, trusts, partnerships, and/or special-purpose entities across Bermuda and other jurisdictions from time to time.

Prepare and file statutory documents including annual returns, amendments, director and officer appointments/removals, share transfers, and other corporate changes.

Draft and review board and shareholder resolutions, minutes, notices, and meeting agendas.

Coordinate and attend client meetings; prepare accurate minutes and follow up on action items.

Maintain statutory registers and ensure up-to-date and compliant corporate records for all assigned entities.

Support formation, re-domiciliation, restructuring, and dissolution of client entities.
Regulatory & Compliance Duties
-
Ensure entities comply with the relevant legislation in Bermuda and other jurisdictions as required.

Handle regulatory and statutory filings with the Bermuda Monetary Authority, Registrar of Companies, and any other authorities as required.

Conduct and review KYC/AML due diligence on client structures, coordinating with compliance teams as needed.

Liaise with banks, auditors, legal counsel, regulators, and external service providers.
Team Leadership & Staff Development

Supervise one (or more) Corporate Administrator and oversee day-to-day workload allocation.

Provide on-the-job training, guidance, and mentoring to more junior staff.

Review junior team members’ work to ensure accuracy, quality, and compliance with internal procedures.

Act as a point of escalation for complex matters before involving management.
Client Relationship Management

Serve as a key point of contact for clients, responding to corporate and governance queries in a timely and professional manner.

Attend client meetings (virtually or in person) and prepare meeting minutes and supporting documentation.

Build and maintain strong, long-term client relationships through excellent service and proactive communication.
Administrative & Internal Support

Maintain proper filing systems in accordance with internal policies and data protection requirements.

Internal client reviews.

Assist Management with improvements to corporate services processes.

Support the preparation and review of billing, fee estimates, and time records.
CANDIDATE PROFILE
Essential
-
Minimum 3–5 years’ experience in corporate administration, company secretarial work, or corporate services.

Strong understanding of company law and familiarity with common law jurisdictions, such as Bermuda, BVI, Malta.

Experience attending and minuting board and shareholder meetings.
-
Previous experience supervising or mentoring junior staff.
-
Excellent written and verbal communication skills in English.

Strong organisational skills and attention to detail.
Preferred
-
Completed or progress toward a professional qualification such as CGI/ICSA, STEP, ACCA, or a relevant legal/business qualification.

Experience within financial services, fund administration, or trust and corporate services environments.

Working knowledge of AML/KYC requirements and regulated entity obligations.

SALARY AND BENEFITS

$100,000 - $120,000 Gross Per Annum
