Our client, one of the largest independent financial services groups headquartered in the Channel Islands with offices in Malta providing global professional administration services across Private Wealth & Corporate and Pensions. Due to their continued GRS are now looking for an experienced Senior Trust and Company Administrators to join the team. Ideally, you have 3 years relevant experience and perhaps already be studying for the STEP. MAIN DUTIES AND RESPONSIBILITIES
  • Reporting to senior management you’ll be responsible for the day-to-day running of a portfolio of clients including trust and companies dealing with a variety of assets in superyachts, property, crewing, pharmaceutical and intellectual property.
  • Ensuring client compliance with various company laws and regulations.
  • Maintaining trust and corporate records.
  • Drafting agenda/minutes/resolutions/proxies in relation to Annual General Meetings and other meetings.
  • Drafting minutes/resolutions in relation to Shareholders, Trustee, and Director’s meetings i.e., opening of bank accounts, resigning/appointing directors and officers, and financial matters.
  • Preparation of other legal documents i.e., Certificate and of Incumbency, Certified Resolutions, Secretary’s Certificates, Agreements.
  • Preparation of Annual Returns and other statutory filings.
  • Drafting letters/emails/faxes to clients and other financial institutions.
  • Managing of due diligence and compliance records for clients’ entities.
  • Managing and organizing filing systems both physical and electronic.
  • Income and fee collection, chasing of invoices where needed.
CANDIDATE PROFILE
  • At least 2-3 years relevant experience i.e., Trust Officer and/or Corporate Administrator – able to demonstrate experience in handling complex work.
  • Ideally be studying for the STEP qualification (although not mandatory) and be educated to ‘A’ Level standard.
  • Excellent communication skills, both written and oral in English (Maltese an advantage).
  • Good computer skills including advanced knowledge of Microsoft Word, Excel and Outlook.
  • Self-motivated with the ability to work autonomously and self-organize the workflow.
  • Strong organizational skills and the ability to manage deadlines.
  • Acute time management skills with the ability to multitask.
  • Ability to follow procedures.
  • Excellent attention to detail.
  • Good numeracy, computer skills and a positive ‘can do’ attitude are also required.
