A boutique Corporate & Trust Provider based in central Malta is searching for a Trust Administrator to organise a multi-jurisdictional portfolio of companies and trusts. The ideal candidate will have 2 to 3 years’ experience in a Trust Administrator or Corporate Administrator role. MAIN DUTIES AND RESPONSIBILITIES
  • Organisation of a multi-jurisdictional portfolio of companies and trusts.
  • Ensure client compliance with various company laws and regulations.
  • Maintenance of trust and corporate records.
  • Drafting agenda/minutes/resolutions/proxies in relation to Annual General Meetings and other meetings.
  • Drafting minutes/resolutions in relation to Shareholders, Trustee and Directors meetings i.e., opening of bank accounts, resigning/appointing directors and officers, financial matters.
  • Preparation of other legal documents i.e., Certificate of Incumbency, Certified Resolutions, Secretary’s Certificates, Agreements.
  • Preparation of Annual Returns and other statutory filings.
  • Banking duties for clients, such as creating on-line payments for signatory execution.
  • Drafting letters/emails/faxes to clients and other financial institutions.
  • Managing of due diligence and compliance records for clients’ entities.
  • Managing and organizing filing systems both physical and electronic.
  • Income and fee collection, chasing of invoices where needed.
  • Recording billable time.
CANDIDATE PROFILE
  • At least 2-3 years relevant experience i.e. Trust Officer and/or Corporate Administrator – able to demonstrate experience in handling complex work.
  • Excellent communication skills, both written and oral in English.
  • Good computer skills including advanced knowledge of Microsoft Word, Excel, and Outlook.
  • Self-motivated with the ability to work autonomously and self-organize the workflow.
  • Strong organizational skills and the ability to manage deadlines.
  • Acute time management skills with the ability to multi-task.
  • Ability to follow procedures.
  • Excellent attention to detail.
COMPANY BENEFITS
  • Hours of employment are full time 40 hours per week, working between 8am-6pm.
  • Paid holidays will be 24 days plus statutory Maltese public holidays. 
  • Market salary depending on the level of training required and commensurate with experience.
