A growing and reputable law firm based in the heart of Nicosia is working in partnership with GRS Recruitment to hire a Corporate Administrator for their team. The successful candidate must be detail-oriented, proactive, and possess strong communication skills, with proven experience in a range of corporate secretarial duties. These include handling RoC filings, liaising with government authorities, supporting board and shareholder meetings, maintaining statutory registers, managing UBO submissions via the Ariadne portal, and preparing documentation for bank account openings. MAIN DUTIES AND RESPONSIBILITIES
  • Accurately complete and submit a variety of Registrar of Companies (RoC) forms, including but not limited to HE32, HE4, HE12, HE14, HE57, and name approval applications. Experience with more complex filings such as HE16, HE24, and HE28 is highly valued. Assist in the incorporation of new companies where required.
  • Proactively troubleshoot and resolve RoC filing issues by effectively liaising with RoC officers, including direct communication over the phone.
  • Support board and shareholder meeting processes by preparing and managing resolutions, notices, and documentation, particularly for Annual General Meetings (AGMs).
  • Ensure all corporate registers are accurately updated and maintained in compliance with applicable regulations.
  • Manage Ultimate Beneficial Owner (UBO) submissions through the Ariadne government portal with precision and attention to regulatory deadlines.
  • Prepare and complete bank account opening documentation, gather necessary supporting materials, and liaise with banks to ensure a smooth onboarding process.
CANDIDATE PROFILE
  • Demonstrable experience in handling corporate secretarial work, especially in completing basic and complex RoC filings.
  • Familiarity with the incorporation process and related compliance requirements.
  • Strong verbal and written communication skills, particularly when dealing with RoC officers and banking institutions.
  • Highly detail-oriented with excellent organizational abilities to manage multiple filings, meetings, and compliance deadlines simultaneously.
  • Comfortable using government portals (e.g., Ariadne) and managing electronic and paper-based corporate records.
  • Sound understanding of company articles of association and their role in governing corporate practices.
  • Ability to identify potential issues early and take initiative to resolve them efficiently and professionally.
  • Fluency in Greek and English, both written and verbal.
