GRS Recruitment are seeking a highly organized, proactive, and professional Executive Administrative Assistant/ Client Relations Coordinator to support the CEO and manage daily administrative, operational, and client-related activities in Limassol. The role involves independently overseeing day-to-day operations, ensuring strong organization, efficient follow-up, and professional communication with clients, suppliers, consultants, and partners. The successful candidate will develop a solid understanding of the company’s projects and services to confidently assist with client inquiries, coordinate meetings and site visits, and support project presentations when needed. Overall, this position is key to reducing management workload by ensuring smooth coordination, reliable communication, and efficient execution across all administrative, operational, and client-facing activities.

Manage and coordinate the CEO’s daily schedule, meetings, appointments, and reminders

Handle administrative and secretarial tasks efficiently and professionally

Organize and maintain physical and electronic filing systems

Prepare reports, presentations, meeting notes, correspondence, and internal documentation

Coordinate travel arrangements, reservations, and logistics when required

Monitor pending tasks and ensure proper follow-up and timely completion

Maintain organized records, contracts, invoices, permits, and company documentation

File and organize accounting-related materials and provide the relevant department with expenses and supporting documentation for VAT and accounting purposes

Assist in coordinating day-to-day operational and administrative activities of the company

Coordinate with accountants, lawyers, consultants, architects, engineers, suppliers, contractors, and external service providers when required

Assist in collecting, organizing, and submitting documentation requested by management, auditors, accountants, banks, or public authorities

Monitor incoming and outgoing correspondence, emails, invoices, and company communications

Assist in monitoring payments, pending invoices, receipts, and administrative follow-ups with the relevant departments

Support document preparation related to company operations, client matters, projects, and internal administration

Assist with preparation and coordination of quotations, forms, applications, and administrative submissions

Coordinate courier services, deliveries, office supplies, and general office requirements

Support daily office operations and contribute to improving administrative processes

Maintain proper internal communication and assist management in ensuring operational efficiency

Handle confidential information with professionalism and discretion

Attend to client inquiries professionally via phone, email, WhatsApp, and meetings
-
Follow up with clients, suppliers, consultants, and partners to ensure smooth communication and coordination

Develop a complete understanding of the company’s projects, services, and offerings

Assist clients by providing accurate project information and guidance
-
Meet clients on-site to explain projects, answer questions, and provide support during visits

Assist with on-site project presentations, client meetings, and project-related coordination when required
-
Coordinate client meetings, presentations, and site visits
-
Act as a communication link between management and clients

Ensure a high level of customer service and client satisfaction at all times

Support management in maintaining strong and professional client relationships

Previous experience in an Administrative Assistant, Executive Assistant, Client Relations, Sales Support, Operations Support, or similar role
-
Strong organizational and multitasking abilities

Ability to understand and confidently present project details to clients

Fluent in English (fluency in Greek is considered an advantage)
