A top-tier Legal firm is looking for an Executive Secretary to join their management team in Malta. You will be part of the management team and will support the senior Partners with an array of administrative duties. The ideal candidate will have 1- 2 years’ experience in a similar corporate role and have excellent Microsoft skills. MAIN DUTIES AND RESPONSIBILITIES

Performing administrative and secretarial duties

Processing, typing, editing, and formatting reports and documents

Filing documents, as well as entering data and maintaining databases
-
Liaising with internal departments and communicating with the public
-
Directing internal and external calls, emails to designated departments
-
Arranging and scheduling appointments, meetings, and events
-
Monitoring office supplies and ordering replacements
-
Assisting with copying, scanning, emailing, note-taking, and travel bookings
-
Preparing facilities and arranging refreshments for events, if required
-
Assisting in general admin and hospitality duties if required, including undertaking occasional reception duties

Assisting in personal administrative tasks for the partners
-
Observing the best business practices and etiquette.
CANDIDATE PROFILE

Advanced proficiency in managing documents, spreadsheets, and databases
-
Ability to liaise internally and externally on administrative matters
-
Exceptional filing, recordkeeping, and organizational skills

Working knowledge of printers, copiers, scanners, and fax machines
-
Proficiency in appointment scheduling and call forwarding systems
-
High degree of multi-tasking and time management capabilities

Flexibility to perform duties even out of office hours, especially personal administrative matters

Excellent written and verbal communication skills.
