A fantastic modern established international company, with operations in Switzerland and Malta, licensed by the MFSA to provide corporate and fiduciary services, are collaborating with GRS to recruit an Office Manager & Executive Assistant to join their team in Malta. You will directly report to the Managing Director and support him in all management matters as well as managing the office operations Malta. The ideal candidate will have experience in a similar role within a corporate environment. MAIN DUTIES AND RESPONSIBILITIES

Drafting invitations and minutes of general and board meetings

Correspondence in English with tax and legal advisors, clients, banks, and providers

Participation in client meetings

Preparation of payment requests
-
General trust and corporate administration
-
Submission of statutory filings with the Malta Business Registry

Assistance with the opening, opening and maintenance of bank mandate
-
Ensuring all client and company documentation is processed and filed accordingly.

Organisation of calls, meeting and events
-
Correspondence with registries, tax and other authorities, lawyers and third parties
-
Updates to presentations, handouts and brochures
-
Assist on internal projects
-
Prepares general correspondence in English
-
Coordinates business trips together with reception
-
Accompanies and supports the Managing Director on business trips and/or events

Prepare invitations and basic minutes for meetings

Maintains the corporate files of the Group companies
-
Organisation of internal events and business travel
-
Maintaining spreadsheets of company data and contacts
CANDIDATE PROFILE
-
A commercial or legal background and ideally already have professional experience in the legal, financial or fiduciary sector.

A high quality and quantity of work, respecting deadlines, handling of internal matters independently

Customer focus, a very good communication, distinct team spirit

In addition to a professional demeanor and good manners, an independent and precise way of working is particularly important.

Excellent language skills in English and Maltese
