On behalf of our client, a dynamic Consultancy Services based in Malta, GRS Recruitment are seeking a Front Desk Executive. The Front Desk Executive must act as the first point of contact for visitors and clients visiting the office premises whilst directing them to the appropriate personnel. The individual must maintain a high level of professionalism and courtesy at all times. The Executive must also provide ongoing support to the CEO as well as other administrative duties that may be required by the management.
MAIN DUTIES AND RESPONSIBITLIES
  • Act as a first point of contact for all clients/visitors visiting the office premises
  • Handle incoming calls, provide information, take messages, and transfer calls to the relevant individuals
  • Work closely with the Personal Assistant to the CEO in order to provide ongoing support to the CEO and handle any other administrative duties as they may arise
  • Guide and support the P.A./CEO with the daily tasks and set up reminders of important tasks and deadlines
  • Maintain an organized and structured filing system, update and reconcile petty cash, co-ordinate payments, keep effective inventory lists of all IT equipment
  • Assist in the organization of company events
  • Book and arrange travel, transport, and/or accommodation, as required and ensure that the CEO's calendar up-to-date with such documents and provide hard copies to MD
  • Book and arrange local and foreign couriers and to assist other team members, whenever required
  • Upkeep and order branded and unbranded stationery and/or marketing material as required by the management
  • Upkeep of the meeting room prior to, and after client meetings and replenish amenities as required
  • Prepare documents in relation to corporate changes or company incorporations as well as preparation of annual return documents for all group companies prior to due date
  • Liaison with local authorities and/or service providers, and submit any documents and/or obtain procedures/guidelines as may be required
  • Assist management with the onboarding and/or offboarding process of employees
  • Draft vacancies and liaise with recruitment agencies as need may arise and assist with the preparation, submission and renewal process of work permit applications
  • Ad hoc administrative assistance as required by management
CANDIDATE PROFILE
  • Two years' experience in a professional office environment with fluency in both written and spoken English
  • Medium user level in Microsoft Office Applications (Outlook, Word, PowerPoint, Excel)
  • Punctuality and reliability, effective multi-tasking skills, with a meticulous attention to accuracy and detail
  • Proven ability to be proactive, take the initiative and act with tact and diplomacy
  • Excellent oral and written communication skills and a proven ability to work in a collaborative, international and team-oriented environment
  • Discreet and trustworthy individual who has the ability to remain flexible and adapt to business needs
