On behalf of our Client, a well-established and well-known Shipping Company, GRS Recruitment are seeking to recruit an HR and Planning Officer to be based in Limassol. MAIN DUTIES AND RESPONSIBILITIES
Crew Onboarding & HR Administration

Collect and verify onboarding documentation from crew.

Enter new hires into HR systems (Abacus, PremierSoft, HR Suite) and ensure profile completion.

Prepare employment contracts and manage digital signatures via DeepSign.

Guide crew in using HR tools (e.g., HR Suite, AbaClick).

Update internal checklists and inform stakeholders to ensure timely onboarding.

Coordinate uniform orders and logistics with Procurement.
Contract Management & Offboarding
-
Process contract extensions, addenda, and offboarding documentation.

Issue confirmation letters and manage exit data in Abacus and internal tools.

Coordinate with payroll for final payments, travel declarations, and outstanding dues.
HR System & Payroll Support
-
Maintain accurate HR status overviews in all systems.
-
Compile and verify data for monthly payroll runs (Dutylists, declarations, overtime).
-
Act as back-up to review draft payslips and coordinate corrections.

Upload final payslips and communicate with crew when required.
Planning & Visa Coordination

Create and manage crew rotation schedules aligned with vessel operations.
-
Serve as main contact for visa requests for non-EU crew (Serbian, Filipino, Indonesian, etc.).

Prepare and submit visa applications; track appointments and issuance.

Maintain accurate visa records in Abacus or relevant systems.

Collaborate with Planning team and Nautical Managers for embarkation and repatriation.

Ensure roster accuracy and update planning tools.
-
Coordinate medical checks and documentation for visa/onboarding compliance
CANDIDATE PROFILE
-
Relevant Bachelor’s degree
-
Minimum 2 years’ experience in HR administration, planning, or maritime logistics

Experience with HR/payroll systems (Abacus, Adonis, PremierSoft) preferred
-
Very good knowledge of the Greek and English languages
-
Knowledge of visa procedures and international crew management advantageous.

Excellent administrative and organizational skills; attention to detail

Problem-solving and time management abilities
