GRS is working in partnership with a governmental department in Cyprus and currently seeking to recruit Junior Administration Assistant to work on temporary contract  in Limassol for the duration of four years. The successful candidate will be assisting with secretarial and administrative duties and must be fluent in both fluent Greek & English, hold the secondary school certification and a clear criminal record (certificates required upon application). The role offers attractive working hours, Monday to Friday 07:30 - 15:00. MAIN DUTIES AND RESPONSIBILITIES
  • Management and maintenance of the calendar of the Head of Service to be appointed, including scheduling appointments and meetings.
  • Preparing, proofreading and formatting confidential correspondence, reports, presentations and other documents.
  • Manage incoming and outgoing communications, including mail, email and phone calls, prioritizing and highlighting urgent matters.
  • Organizing and maintaining an effective archiving system (physical and digital) for highly sensitive documents.
  • Coordination and preparation for meetings, including scheduling, sending invitations, distributing agendas and related materials.
  • Attend meetings, as required, to maintain accurate minutes and monitor actions.
  • Monitoring actions to ensure their timely completion
CANDIDATE PROFILE
  • Prior experience in Administrator / Office Support roles
  • Knowledge of operating an electronic document management system/ Document management system
  • Familiarity with virtual meeting platforms (e.g. Zoom , Microsoft Teams)
  • Good Knowledge of Microsoft programs and outlook
  • A clear criminal record
  • Certificate confirming fulfilled military obligations in Cyprus
  • Holder of Cyprus School leaving certificate
  • Excellent organizational and multitasking skills
  • Great communication and Customer Service Skills 
  • Fluent in Greek & English is mandatory
  • Must already be residing in Cyprus with valid work permit
