A well-established Dry Bulk Shipping company is looking for a Chartering Assistant to join their team in Malta. You will handle various tasks, support management in procurement, contract negotiations and admin tasks. The perfect candidate will have exposure to the marine sector and be looking to further their land-based career. MAIN DUTIES AND RESPONSIBILITIES
  • Assisting Chartering manager in fixing competitive contracts.
  • Assisting Operations manager in laying out plans for a safe and successful voyage.
  • Creating invoices in dedicated software (ARGO) during particular stages of negotiation and ship’s voyage.
  • Monitoring payments at different stages of the voyage.
  • Monitoring maritime weather reports to ensure a safe navigational route is proposed.
  • Liaising with maritime agents to supply company ships with required stock, food, fresh water and fuel.
  • Producing weekly reports for the Operations section.
  • Assisting Technical department with required purchases that range from daily crew needs (such as toiletries) to ordering necessary engine blocks for repairs while vessels are dry-docked.
  • Includes liaising with ship captains for any required details and images, sending Requests for Quotations to suppliers, selecting the most competitive pricing with Technical department, confirming quote of chosen supplier and handling delivery to ship’s port of call.
  • Updating database software (AMOS) with supplier details, pricings, and workflow (different stages from request creation to delivery on ship).
  • Compiling spreadsheets to produce speedometer charts, and other types of visual aids for monthly reports.
  • Managing the compiling of specific sections in spreadsheets and presentations which data is retrieved from or filled in by section managers, then producing the final Monthly Report presentation.
  • Tracking data such as payment delays, invoice-issuance delays, debt-to-voyage length ratios (internally called Time Charter Equivalent) for specialised spreadsheets used in director meetings.
  • Liaising with local authorities and commercial entities for effective communication in view that the company has a foreign top-management
CANDIDATE PROFILE
  • Experience in a similar role
  • Excellent numerical skills
  • Proficiency in using software / IT skills.
  • As Commercial he/she should be communicative, good interpersonal skills, customer oriented etc.
  • Willing to travel as required.
  • Working hours from 9.00 to 17.30 with 30 minutes for lunch time.
