On behalf of our client, a group of companies specializing in Maritime and Shipping Services, GRS Recruitment is looking for an Office Manager/ PA for their Limassol based team.   • Support and act as the assistant of the Managing Director
  • Schedule meetings and appointments
  • Provide general support to visitors
  • Assist in the onboarding process for new hires
  • Liaise with facility management vendors, including cleaning services. etc
  • Partner with HR to update and maintain office policies as necessary
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Organize office operations and procedures
  • Maintain and update companies’ material (printed and digital) website and social media accounts with content such as new services, principals, participation at exhibitions and press releases
  • Prepare required material and briefs to order any job from third parties
  • Conduct yearly strategy meeting/ event of all offices under the Company
  • Assist in all official Seminars and Presentations made by the Company and the Group of Companies, where appropriate
  • Prompt and source new leads for sales teams
  • Collaborate with other members of the group and assist whenever needed
  • Coordinate and follow up the reporting of all companies under the Group Company on a weekly basis
  • Monitor customers’ contracts in terms of validity, number of vessels, prices, cost etc.
  • Identify trading opportunities and negotiate with suppliers and customers
  • Build strong relationships with customers
  • Search for new business opportunities in maritime e-publications and industry printed literature
  • Establish and develop a new business opportunity with potential customers
  • Follow up the existing Pricing system
  • Keep the Company’s portfolio updated and relevant
  • Visit exhibitions or principals, locally or internationally, to gain information on new products and emerging markets whenever is needed
  • Facilitate the Quality Manager for the most efficient implementation of the ISO 9001:2015 system
  • Control external communication regarding the performance of the company and the quality system
  • At least 5 years of previous working experience in a similar role
  • Holder of bachelor’s degree in Business Management will be considered an advantage
  • Strong command of Microsoft Office and computer literacy
  • Fluency in Greek and English languages both verbal and written
  • Excellent time-management skills
  • Strong communication skills
  • Out-going personality
  • Attractive remuneration package including 14th salary
