A long-standing Legal Firm with offices at the heart of Nicosia is working in partnership with GRS Recruitment to hire a Personal Assistant for the Managing Partner of the company. The successful candidate will be expected to provide administrative and secretarial support to ensure the smooth management of the Managing Partner’s day-to-day affairs. MAIN DUTIES AND RESPONSIBILITIES
  • Act as a first point of contact and gatekeeper, fielding and screening all incoming communications to maximise efficiency whilst managing and maintaining the Managing Partner’s diary and email accounts and providing exceptional client service.
  • Extensive diary management using their own initiative to make decisions including proactively coordinating and arranging meetings.
  • Ensure the Managing Partner is fully briefed on, and prepared for, and has all the necessary documentation and details required ahead of any engagements and meetings he is involved in - this would involve a significant amount of research, preparation and coordination.
  • Organise travel itineraries and appointments locally and abroad including speaking engagements, seminars, conferences and client appointments for the Managing Partner
  • Minute taking and distribution of minutes for key meetings and attending client meetings and events on and off site as and when needed.
  • Prepare court forms, other legal documents and the opening and maintaining of legal files.
  • Prepare draft letters and emails, create agendas for meetings, proof reading and responding to correspondence.
  • Research and investigate information to enable strategic decision-making and present findings.
  • Interpreting instructions and issues arising, and then implementing the actions.
  • Upon the Managing Partner’s instructions, making decisions and delegating work to others in the Managing Partner’s absence.
  • Maintain office systems, including updating the internal client database, filing, copying, etc.
  • Follow up and gather the status of work and projects, coordinate and log information where appropriate. Follow up on progress as appropriate and chase next steps to ensure deadlines are met.
  • Produce high level PowerPoint presentations including pitch materials, proposals and other documentation needed for meetings.
  • Oversee the administration relating to key documentation such as contracts, budgets etc.
  • Ensure regular 1:1 meeting with the Managing Partner’s direct reports and Partners
  • Support the Senior Management team as required.
  • Process expenses and other personal and ad hoc duties as required by the Managing Partner.
  • The Personal Assistant is also expected to perform any other administrative tasks as and when requested.
CANDIDATE PROFILE
  • Minimum 5-7 years’ work experience as a Personal Assistant
  • Diploma in Secretarial studies or University degree in any related field
  • Fluent written and spoken Greek and English. Knowledge of any other language will be considered an advantage.
  • Exceptional communication and interpersonal skills
  • Proven ability to maintain absolute discretion whilst handling sensitive and confidential information.
  • Ability to work under pressure, adhere to tight deadlines, multitask and prioritize their work.
  • Excellent working knowledge of Microsoft Office Suite applications
