We are excited to present an excellent opportunity to join a forward-thinking logistics organisation as a Senior Executive Assistant in Limassol. This private company, with a close-knit team of fewer than 10 employees, values efficiency, professionalism, and integrity in all that they do. The Senior Executive Assistant to the CEO will provide high-level administrative support to the Chief Executive Officer, managing a wide range of tasks to ensure the CEO’s office operates efficiently and effectively. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs and proactively address challenges. The Senior Executive Assistant will excel in communication, coordination, and follow-up to support the CEO's strategic initiatives.
 
DUTIES AND RESPONSIBILITIES
 
Administrative Support:
  • Manage the CEO’s calendar, schedule meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming and outgoing communications on behalf of the CEO.
  • Organize and maintain files and records, ensuring confidentiality.
Meeting Coordination:
  • Plan, coordinate, and executive meetings, including board meetings, team meetings, and external engagements.
  • Prepare agendas, take minutes, and follow up on action items.
  • Ensure meeting materials are prepared and distributed in advance.
Project Management:
  • Assist in the management of key projects and initiatives led by the CEO.
  • Track progress, prepare reports, and ensure deadlines are met.
  • Collaborate with other departments to gather information and provide updates to the CEO.
Travel Coordination:
  • Arrange detailed travel plans, schedules, and agendas.
  • Handle travel logistics, including accommodations, transportation, and visas.
Communication and Liaison:
  • Act as a point of contact between the CEO and internal/external stakeholders.
  • Screen and direct phone calls, emails, and other inquiries.
  • Facilitate communication and maintain strong relationships with stakeholders.
Office Management:
  • Ensure the smooth operation of the CEO’s office.
  • Manage office supplies and equipment, ensuring everything is in good working order.
  • Oversee the CEO’s expense reports and budget management.
Confidentiality and Discretion:
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Always maintain a high level of integrity and professionalism.
Email and Document Management:
  • Manage and prioritize the CEO's email inbox, ensuring timely responses and follow-up.
  • Maintain and organize the CEO's files, documents, and records.
  • Ensure all documents are properly archived and easily accessible.
Communication and Coordination:
  • Ensure perfect communication and coordination across departments to support the CEO's initiatives.
  • Follow up on tasks and projects assigned by the CEO to ensure completion and adherence to deadlines.
  • Provide regular updates to the CEO on the status of various projects and tasks.
Minutes of Meetings:
  • Accurately record minutes of meetings attended by the CEO.
  • Distribute minutes to relevant parties and ensure follow-up on action items.
Technology Awareness:
  • Keep an eye on new technologies related to emails, documentation, presentation strategies, and other relevant tools that can benefit the CEO.
  • Recommend and implement technological solutions to improve efficiency and effectiveness in the CEO's office.
CANDIDATE PROFILE
  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 5 years of experience as an executive assistant or in a similar role, preferably in a corporate environment.
  • Exceptional organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and ability to multitask.
  • Ability to work independently and as part of a team.
  • High level of discretion and confidentiality.
  • Proactive and able to anticipate needs and solve problems efficiently.
SALARY AND BENEFITS
  • €36,000 - €48,000 Gross Per Annum
  • Salary will be determined based on experience, qualifications, and skills. The advertised salary range is indicative, any offer will reflect the successful candidate’s suitability.
