An American financial technology company based in Strovolos, Nicosia is searching for an Administrative & Facilities Support to work in their office on a full-time contractual basis for 12 months. You will be part of a team that will support and develop you as an individual whist you perform various administration and facility duties. MAIN DUTIES AND RESPONSIBILITIES
  • Coordinates planned or emergency work of internal staff, vendors and/or contractors to ensure minimal impact on business. Escalates matters outside guidelines/policies, to management for additional review.
  • Monitors maintenance request tickets, conference room capacity and availability, equipment orders or fulfilment of other real estate requests through various systems to ensure execution within guidelines/policies.
  • Collects and organizes purchase orders, invoices, etc. Oversees process to ensure documentation/products are delivered to the appropriate department and correctly administered. Identifies, recommends, and purchases materials for maintenance or facility updating projects through online ordering, phone or external/vendor purchases.
  • Utilizes multiple facilities systems to administer staff and vendor workflow across various facilities. Escalates highly complex issues.
  • Receives and circulates general office mail or business-related items, such as applications/resumes, business cards.
  • May backup administrative support by coordinating reservations for conference or training rooms, ordering office supplies, maintaining files and documentation required to support business functions, as directed.
  • Answer main telephone, screen calls, and take messages so callers/visitors are dealt with promptly, courteously, and accurately.
CANDIDATE PROFILE
  • Works on assignments requiring considerable initiative and makes recommendations for solutions.
  • Knowledge of the English language both written and verbally is a must.
  • May be informal team leader to oversee the running of the processes and administrative duties.
  • Computer Skills - Microsoft Office and internal applications
  • Self-motivated, energetic with ability to work under pressure
  • Excellent analytical skills.
  • Bachelor’s degree in business administration desirable but not essential.
  • Knowledge of AutoCAD will be considered as an additional advantage.
  • Space/facilities planning, project management, inventory will be considered as an additional advantage.
  • Attention to detail and analytical skills.
