GRS is seeking to recruit an experienced Administrative Assistant for our established client with more than 20 years’ experience in Malta providing a broad range of clients in all major sectors with various services in Audit, Tax & Consultancy and Corporate Services. As a committed and detail-oriented individual, you will join the team as Administrative Assistant and play a crucial role in supporting the office manager and ensuring the smooth day-to-day operations of the office. MAIN DUTIES AND RESPONSIBILITIES

Provide a positive and professional first point of contact for clients and visitors

Coordinating office deliveries, office mail, and couriers

Providing administrative assistance to ensure smooth office operations and actively contributing to meeting deadlines

Maintaining and updating the firm’s databases
-
Draft, proofread, and edit documents and correspondence
-
Scanning and filing of documents
-
Assisting in office errands as required by the Office Manager
-
Assist in monitoring the credit control function
-
Collaborate with team members to facilitate efficient workflow
-
Ensure the office is well-organised and presentable
-
Manage office supplies, place orders as needed, and maintain inventory

Assist with basic financial tasks, such as processing of invoices and preparation of bank deposits

Supporting the Office Manager in the management and coordination of office activities and operations
CANDIDATE PROFILE
-
Proven experience as an administrative assistant or in a similar role
-
Familiarity with basic accounting principles is a plus
-
Proficient in MS Office (Word, Excel, Outlook)
-
Knowledge of Indigo and Xero software will be considered an asset
-
Excellent organizational and multitasking abilities

Strong written and verbal communication skills

Attention to detail and problem-solving skills

Ability to maintain confidentiality and handle sensitive information
