Our client a leading financial services company is looking for hire a Corporate Administration Assistant to work closely with Intelligence Analysts by providing continuous support and assistance. Reporting to the Director, applicants must have a qualification in administrative and secretarial duties or demonstrated secretarial and administrative experience in a similar role. MAIN DUTIES AND RESPONSIBILITIES
  • Dealing with incoming and outgoing correspondence
  • Maintaining Information Management Systems
  • Updating computerised and paper based records
  • Organising events (e.g. workshops, seminars and training courses)
  • Providing general administrative support to Section staff, as required
  • Managing documents (data entry, scanning, filing, etc)
  • Screening and handling telephone calls and enquiries appropriately
  • Liaising with the Corporate Services Section especially in relation to the organisation of staff travel arrangements
  • Contributing towards the standard operating procedures and ensuring that these are adhered to
  • Any other duties assigned by the Director, Deputy Director, Head, Senior Manager and Manager
CANDIDATE PROFILE
  • The chosen candidate must be in possession of a School Leaving Certificate with at least 5 years’ experience or in possession of an MQF Level 4 qualification with at least 2 years work experience relevant to this post.
  • Preference may be given to applicants in possession of a qualification in administrative and secretarial duties or demonstrated secretarial and administrative experience in a similar role will be considered favourably.
  • Applicants should be able to communicate effectively both in Maltese and English, have excellent analytical and report writing skills and must be highly proficient in the use of office automation tools.
  • Applicants should be able to show a track record of good organizational skills, leadership and motivational skills, ethical responsibility, and diligence to qualify for this position.
  • The selected candidate is expected to work independently and as part of a team, and to work with minimum level of supervision in the conceptualization, planning, management, and implementation of day-to-day activities within the department.
  • Furthermore, the selected applicant should be able to multi-task, work under tight timelines and be flexible to work after working hours to achieve stipulated deadlines.
