GRS Recruitment is currently partnering with a reputable accounting firm for the position of Executive Assistant on a hybrid basis, allowing to work remotely most days of the week. The position offers dedicated support to the partners, reporting directly to them, requiring a high level of professionalism, discretion, and adaptability. The ideal candidate will have experience in a high-performing Executive Assistant or similar role, complemented by the capabilities outlined below. MAIN DUTIES AND RESPONSIBILTIES
  • Prepare meeting agendas, reports, presentations and other documents with precision.
  • Anticipate the Stakeholders' needs and proactively provide support to ensure seamless operations.
  • Act as a liaison between the Stakeholder and internal / external stakeholders, maintaining professionalism and confidentiality.
  • Support specific projects by concluding research, compiling data, and providing administrative help.
  • Plan and coordinate travel arrangements, including flights, visas, accommodations and itineraries.
  • Organise and manage team events, board meetings and offsite engagements.
  • Oversee administrative tasks such as expenses and timesheets.
  • Utilise the Business Support team portal to efficiently manage travel arrangements, facilitate DocuSign processes, and create and format professional documents in adherence to brand guidelines.
CANDIDATE PROFILE
  • Experience, Two levels of candidates_ Level 1: Minimum 1 year and Level 2: Minimum 5 years of experience in a relevant administrative or executive support role
  • Strong command of the English language, both written and verbal
  • Familiarity with tools such as Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to manage multiple priorities and deadlines with accuracy and efficiency.
  • Confidence in preparing professional documents, reports, and presentations with attention to detail
  • Discretion and professionalism when handling confidential or sensitive information.
  • Solid understanding of business etiquette and corporate communication standards.
  • Ability to coordinate travel logistics and manage schedules with precision.
  • Commitment to delivering high-quality work and supporting team success.
  • Flexibility and adaptability in a fast-paced, dynamic environment.
