We are seeking an experienced and highly organised Executive Assistant to provide strategic administrative support to the Group Managing Director and wider Executive Team of a well-established international organisation. This confidential role requires a proactive and discreet professional who can operate at a senior level, managing complex schedules, coordinating international travel, supporting executive meetings, and ensuring leadership priorities are managed effectively. The successful candidate will act as a trusted partner to senior management, demonstrating exceptional organisational skills, sound judgement, confidentiality, and the ability to manage multiple priorities within a fast-paced and international environment. MAIN DUTIES AND RESPONSIBILITIES
  • Provide high-level administrative and operational support to the Group Managing Director and Executive Team.
  • Manage complex calendars, meetings, and diary commitments across multiple time zones, ensuring priorities are effectively coordinated.
  • Coordinate international travel arrangements, including flights, accommodation, visas, transportation, detailed itineraries, and contingency planning.
  • Act as a key point of contact for internal and external stakeholders, handling communications with professionalism and discretion.
  • Support executive meetings, board activities, leadership events, and company offsites through effective planning and coordination.
  • Prepare meeting agendas, presentations, briefing materials, reports, and supporting documentation.
  • Attend selected meetings, prepare minutes, capture key decisions, and monitor follow-up actions.
  • Manage confidential correspondence, documents, and executive information with a high level of discretion.
  • Support expense management processes, including preparation, tracking, and reconciliation of executive expenses.
  • Maintain organised filing systems, records, contact databases, and administrative processes to support executive efficiency.
  • Assist with special projects by coordinating timelines, gathering information, tracking progress, and liaising with relevant departments.
  • Continuously identify opportunities to improve executive support processes and operational efficiency.
CANDIDATE PROFILE
  • Proven experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or similar senior administrative support role.
  • Previous experience supporting C-suite executives, Managing Directors, or senior leadership teams is highly desirable.
  • Strong organisational skills with the ability to manage competing priorities, deadlines, and frequent changes.
  • Experience coordinating international travel, complex calendars, meetings, and executive communications.
  • Excellent written and verbal communication skills with the ability to interact confidently with senior stakeholders.
  • High level of confidentiality, professionalism, discretion, and sound judgement.
  • Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint; experience with Teams, SharePoint, or expense/travel systems would be advantageous.
  • Ability to work independently, anticipate requirements, and proactively support executive decision-making.
  • Fluent English is essential; additional languages would be considered an advantage.
SALARY AND BENEFITS
  • €25,000 - €35,000 Gross Per Annum
  • Salary will be determined based on experience, qualifications, and skills. The advertised salary range is indicative, any offer will reflect the successful candidate’s suitability
