The successful candidate will be the first point of contact for the Bank, offering administrative support to the Head Office, coordinating front-desk activities and working closely with the CEO of the Bank. Providing administrative support to the CEO (preparing the CEO’s office for meetings, providing refreshments, welcoming guests, managing the CEO’s calendar)

Answering telephones promptly and in a professional manner, as per the Bank’s Telephone Customer Service Guide, and routing calls as necessary

Serving visitors by greeting, welcoming, and directing them appropriately
-
Contributing to workplace security by maintaining the visitors’ log and by issuing and collecting temporary access cards.

Notifying colleagues of visitors’ arrival.

Providing administrative support to Head Office departments, such as:
-
Copying, faxing, taking notes and making travel plans
-
Drafting letters
-
Editing documents
-
Scheduling appointments
-
Replying to emails, as per relevant instructions
-
Giving Wi-Fi access to visitors, upon request
-
Receiving and distributing the Bank’s daily internal and external correspondence (ACS, Servall, Post Office)

Dispatching the Bank’s daily internal and external correspondence (ACS, Servall, Post Office)

Stock taking of office supplies and placing orders accordingly, as per the relevant procedure
-
Receiving the cheque book orders, verifying them against the submitted order, and distributing them according to customers’ instructions
-
Checking invoices (Printaform, Saseco, ACS, Servall) against initial orders and submitting them for approval, through JIRA.

Providing employees with office supplies

Preparing meeting and training rooms
-
Managing the petty cash
-
Providing efficient and timely administrative support to the meetings of the Board of Directors.

Keeping the front desk safe and clean by complying with the relevant procedures, rules, and regulations.

Ensuring adherence to internal policies, practices and procedures (e.g. compliance, information security, risk, health & safety, human resources)

Ensuring adherence to local and international regulatory requirements

Ensuring the timely reporting of any discrepancies/cases of non-compliance to the appropriate individual (e.g. Compliance Manager/Money Laundering Compliance Officer, Information Security Officer, Head of Risk Management Function, HR Manager, etc.)

Adhering to the Bank’s Uniform Policy

Contributing to team effort by undertaking additional duties and responsibilities, as assigned by management
