MAIN DUTIES AND RESPONSIBILITIES
  • Assist with administrative tasks from the partners.
  • Operate and troubleshoot basic issues with office equipment such as printers and laptops.
  • Act as the main point of contact for the maintenance and organization of facilities for both the company and clients.
  • Supervise office inventory, ensuring an ample supply of consumables like stationery and printer ink.
  • Manage the Reception when receptionist is not available.
  • Serve as the primary point of contact for internal personnel.
  • Assist clients and customers, handling inquiries in person or via phone.
  • Act as the IT Partners' Go-To person for any IT issues, including onboarding and offboarding of employees.
  • Handle logistics, purchasing, administration, and maintenance of office equipment as approved by management. (Contacts will be provided, but candidate can source as required).
  • Understand and manage the internal access control system to onboard and offboard access for employees.
  • Serve as the point person for any Wi-Fi and telephone issues. (Contacts will be provided).
  • Manage office maintenance, including water, electricity, and backup systems. (Contacts will be provided).
  • Handle logistics, purchasing, administration, and maintenance of office supplies as approved by management. (Contacts will be provided, but candidate can source as required).
  • Liaise with partners for their own or their clients’ requirements on any of the above on offsite. (Transport will be provided for these jobs).
  • Coordinate other internal projects as necessary from time to time, such as maintenance and refurbishment of the office by contractors
CANDIDATE PROFILE
  • Must have at least 1 year of experience in a similar role.
  • Possession of a university degree in a relevant field or equivalent experience.
  • Proficiency in troubleshooting basic issues with office equipment.
  • Excellent organizational and communication skills.
  • Ability to work independently and as part of a team.
  • Proficiency in English, both written and spoken (knowledge of Maltese and Italian would be considered an asset).
  • Knowledge of Microsoft Office Suite.
