An international telecommunications provider is looking for an Office Administrator / PA to join their team in Malta. Your role will encompass PA duties, handle admin tasks, run errands, and provide support to ensure the smooth operation of the office.  The ideal candidate will have experience in a similar role and have a clean driving license. MAIN DUTIES AND RESPONSIBILITIES
  • Manage Senior Management agendas, and travel plans, send reminders, and schedule appointments/meetings.
  • Assisting Senior Management with correspondences, and corporate documents, and taking minutes when required.
  • Preparing facilities for scheduled meetings or events and arranging refreshments when required.
  • Coordinate office events and activities while ensuring that compliance with company policies is maintained.
  • Run errands outside of the office, such as picking up supplies, and equipment, going to the post office, etc.
  • Manage the upkeep of the office.
  • Maintain stock lists of office stationery and kitchen supplies, and order supplies as needed.
  • Identify, select, and build rapport with suppliers and vendors.
  • Handle lunch ordering daily for staff members of the Company.
  • Any other office administration/runner tasks that may be required from time to time.
  • Any other tasks assigned by the Senior Management.
CANDIDATE PROFILE
  • A diploma in Business Administration or equivalent.
  • Proven experience as an office administrator, office assistant or relevant role.
  • Must have a valid driver’s license and a clean driving record: category license A1/111 and B
  • Proficiency in Microsoft Office and other office management software.
  • Strong organizational and time-management abilities.
  • Exceptional communication skills in person, in writing, and on the phone.
  • Able to collaborate effectively in team settings while also demonstrating strong independent work skills.
  • Adeptness in handling pressure, tight deadlines, and shifting priorities.
