DUTIES AND RESPONSIBILITIES
Administrative & Operational Support

Maintain and organize company records and documentation (accounting, legal, HR, etc.).

Work closely with the external legal and accounting firms, ensuring timely submission of invoices, reports, and other required documentation.

Serve as a point of contact for our customers, reviewing, coordinating, and preparing contract payments, retainers, invoices, and related matters.

Support the CEO with administrative and operational tasks as required.

Work closely with the company’s subsidiaries in other countries to align on administrative and financial processes

Handle ad hoc operational tasks as they arise, ensuring timely resolution and communication with the CEO and relevant teams

Participate in operational planning and help prepare reports or materials for management reviews

Contribute to improving administrative processes and efficiency.
HR & People Support

Coordinate the onboarding process for new employees.

Maintain employee records, including tracking leave, sick days, and other data.

Support staff with day-to-day needs and requests.

Assist in relocation process for employees, including visa/work permit coordination and private insurance assistance

Organize company events, team-building activities, and celebrations.

Manage travel arrangements and bookings for staff and management.
Office & Facilities Management

Oversee office administration processes, ensuring efficient internal workflows.

Manage office supplies, stationery, and snacks.

Coordinate office maintenance and address any facility-related issues.

Act as the main point of contact for office vendors and service providers.
CANDIDATE PROFILE
-
At least 5 years of previous experience in office management, administration, or HR support.

Strong organizational and multitasking skills.
-
Excellent communication skills in English (Maltese is a plus).

Proactive, reliable, and able to work independently.

Competency with MS Office and general digital tools.
