GRS Recruitment is excited to partner with a dynamic and fast-growing medical organization in Limassol seeking to recruit a Personal Assistant & Office Coordinator. This role requires a highly organized and proactive professional who can anticipate needs, manage competing priorities, and ensure the smooth day-to-day coordination of the CEO’s schedule, communications, and office operations. Success in this position means maintaining structure, resolving conflicts efficiently, and ensuring all logistics run seamlessly in a dynamic, office-based environment. Interested? DUTIES AND RESPONSIBILITIES
  • Own and optimize the CEO’s calendar (scheduling, prioritization, conflict resolution)
  • Review priorities daily with the CEO
  • Filter and manage incoming emails; respond on behalf of CEO where appropriate
  • Track actions and ensure consistent follow-up across teams
  • Ensure zero missed meetings or deadlines
  • Plan and manage travel (flights, hotels, transfers) for CEO and team
  • Own visa coordination end-to-end, including documentation and applications
  • Oversee office operations (supplies, snacks, general upkeep)
  • Coordinate vendors (maintenance, housekeeping)
  • Support internal events and office environment
CANDIDATE PROFILE
  • 3–6 years' experience as an Executive Assistant / Personal Assistant
  • Strong calendar management and prioritization capability
  • High attention to detail with ability to maintain overview
  • Proactive and solution-oriented mindset
  • Strong ownership and follow-through
  • Comfortable working in a structured, in-office role
  • Proficient in Microsoft Office (Outlook, Excel, Teams)
  • Direct exposure to CEO-level decision-making and operations
  • High ownership role with real impact on daily business execution
