DUTIES AND RESPONSIBILITIES

Sales & Customer Support: prepare quotations, purchase orders, sales orders, and invoices. Respond to customer inquiries and assist in preparing sales offers and tender submissions.

Records Management: maintain an organised electronic filing system of all business-related documents.

Inventory & Order Coordination: Monitor stock levels, coordinate reorders, and coordinate with the supply chain team on order status, tracking, deliveries, and freight quotes.

Reporting & Data Management: Assist with sales reports, forecasts, budgets, inventory. Manage data input for Sales Funnel Management and Service Report Management systems.

Customer Transactions & Onboarding: Process customer transactions, verify data accuracy, and ensure payment terms are correctly applied. Communicate with clients to resolve missing information or queries. Support the onboarding of new clients and assist in resolving customer concerns.

Service Planning: Schedule preventive and corrective maintenance in line with service contracts.

Communication: Coordinate with internal teams, customers and external partners as necessary

Compliance: Ensure adherence to company policies, procedures and regulatory requirements.
CANDIDATE PROFILE

Previous experience in administration or office support, ideally within the pharmaceutical industry

Strong organisational and communication skills

Proficient in MS Office applications and administrative tools

Ability to work independently and as part of a team

Attention to detail and high level of accuracy

Fluent in English; additional languages would be advantageous
