On behalf of our client, a well-known and established regulated Investment Firm in Limassol, GRS are currently seeking to recruit a Russian Speaking Secretary/Office Administrator. MAIN DUTIES AND RESPONSIBILITIES
  • Liaise and aid all departments of the company
  • Fulfil general administrative and secretarial responsibilities
  • Manage all in-bound and out-bound correspondence, answer emails and sort mail
  • Answer phone calls and transfer them as necessary
  • Arrange in cooperation with it function for the outgoing voice message for the company’s telephone line
  • Maintain and keep up to date all secretarial files and the company's contact database
  • Perform general clerical duties like drafting, formatting, printing, photocopying, faxing, emailing and filing relevant documents
  • Manage outgoing and incoming post and record data on special deliveries
  • Maintain up-to-date electronic register of powers of attorney issued by the company and file hard copies as appropriate
  • Liaise with the local service providers to assure continuous running of the office and office facilities including daily cleaning-up of the office premises, maintenance of the office a/c system, communicating with the office landlord, etc.
  • Review current and potential suppliers with prior tender evaluation
  • Maintain stock lists and order office supplies as needed
  • Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
  • Manage reception area and look after visitors
  • Plan and arrange corporate events, including organising catering
  • Assist the managing director with implementation of office interior design restructuring, if and when necessary
  • Provide any additional support to the company staff and the Managing Director as from time to time required.
CANDIDATE PROFILE
  • At least 3 years’ experience in a similar role
  • Fluency in both English and Russian is a must
  • Attention to detail
  • Team player
  • Highly motivated and dynamic.
  • Knowledge of Microsoft Excel
