A legal firm with offices in Nicosia and Limassol is working in partnership with GRS Recruitment to hire an Office Administrator to join their Nicosia based team. MAIN DUTIES AND RESPONSIBILITIES
  • Greet and welcome guests at the office. Take care of any beverages to ensure that they are comfortable during their visit.  
  • Direct visitors to the appropriate person and office.
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
  • Provide basic and accurate information in-person and via phone/ email.
  • Receive, sort and distribute daily mail/ deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook)
  • Order front office supplies and keep inventory of stock.
  • Update calendars and schedule meetings
  • Arrange travel, accommodations and/or reservations.
  • Keep updated records of office expenses and costs.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, scanning and faxing.
  • Liaising with suppliers and ordering office supplies
  • Providing general assistance to the lawyers and support staff of the law firm
  • Organization, upkeep, and maintenance of the Court Diaries
  • Organization, upkeep, and maintenance of the Conference Room Schedule
  • Organization, upkeep and maintenance of the Court Case Files and Corporate Administration Files
  • General Secretarial Duties
 
CANDIDATE PROFILE
  • Holder of University degree or Diploma.
  • Fluency in Greek and English, both written and verbal
  • Previous working experience in a similar role will be considered an advantage.
  • Taking initiatives
  • Computer literate (including Microsoft Word, Excel)
  • Strong organizational skills and time management
  • Ability to work as part of a team.
  • Be proactive.
  • Pleasant and approachable personality.
