As the company prepares to open its new showroom, we are seeking a highly organized and proactive Personal Assistant to provide vital support to the CEO across administrative, operational, and coordination activities. You will be instrumental in managing daily business operations, ensuring efficient administrative support, and maintaining seamless communication across departments. MAIN DUTIES AND RESPONSIBILITIES
- Manage the CEO’s calendar, meetings, and daily schedule.
- Organise and maintain both digital and physical filing systems and business documentation.
- Prepare, process, and record invoices accurately.
- Assist with general office administration and coordination.
- Support inventory management and stock control activities.
- Upload and update product listings and stock information on online platforms.
- Oversee purchase orders, confirmations, and supplier follow-ups.
- Coordinate store arrivals, deliveries, and supplier communication.
- Respond to online customer inquiries promptly and professionally.
- Assist with in-store sales, quotations, and order follow-ups.
- Manage marketing communications, including bulk customer emails.
- Support day-to-day store management tasks.
- Assist the CEO in managing financial workflows and monitoring internal systems.
- Ensure smooth operation of ordering and finance platforms.
CANDIDATE PROFILE
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Strong organizational, multitasking, and time-management abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office / Google Workspace and familiarity with online platforms (e.g., Shopify, WooCommerce).
- Experience with invoicing or inventory management tools is an advantage.
- Discretion, professionalism, and reliability in handling confidential information.
- Interest in or experience with baby products or retail operations is a plus.
- Working Hours (Some flexibility required)
Monday: 09:00 – 18:00, Tuesday: 09:00 – 18:00
Wednesday: 09:00 – 13:00
Thursday: 09:00 – 18:00, Friday: 09:00 – 18:00
Saturday: 09:00 – 13:00 (or full day Wednesday)
Sunday: Day off
